The short version. We collect what we need to run your bookings, keep the studio safe and answer your messages. We don’t sell your data. The studio has CCTV with sound for safety and to sort out any disputes. We only record or stream your session if you ask us to. You can ask us to see, correct or delete your data at any time.

CCTV in the studio

The studio has security cameras that record images and sound. Signs at the studio tell you this. We record sound because noise, damage and disagreements about gear and room use are hard to settle from video alone, and sound has helped resolve disputes fairly for everyone.

  • Footage is stored securely in our CCTV provider’s cloud service and is only viewed when there’s a reason to, like damage, a safety issue, a complaint or a dispute.
  • It is deleted automatically after a short period, normally up to 30 days, unless we need to keep a clip for an incident, an insurance claim or the police.
  • We don’t use CCTV to monitor or publish your rehearsals, and we don’t share footage unless the law requires it or it’s needed to deal with an incident.

Session recordings and livestreams

The Front Room has cameras and room microphones for recording and livestreaming. These are only used when your band books a recording extra or asks us to.

  • Recordings may be uploaded to YouTube (unlisted or public, as agreed with you) so you can access them. Once uploaded, we delete the file from the studio computer.
  • If you record with your own laptop or the studio PC, the files are yours. Bring a drive to take them home.
  • Changed your mind? Ask us and we’ll take the video down.

Who we share data with

We only share what each service needs to do its job:

  • Jammed: our online booking system, and its payment processor.
  • Our CCTV provider: secure cloud storage of camera footage.
  • Elfsight: runs some features on our site, such as chat, the music player and social feeds.
  • Google / YouTube: videos on our site and recordings you ask us to upload.
  • WhatsApp (Meta): if you choose to message us there.
  • Our website host and image/font delivery services that help the site load.
  • Police, insurers or legal advisers: only when the law requires it or to deal with damage, theft or a dispute.

Some of these companies store data outside the UK, mainly in the USA. Where they do, they use legal safeguards approved under UK data protection law. We never sell your data.

How long we keep it

  • Bookings and payments: up to 6 years, because tax law requires it.
  • Messages: up to 2 years after our last contact.
  • CCTV: normally up to 30 days, longer only if needed for an incident.
  • Session recordings: deleted from the studio PC after upload. Videos stay on YouTube until you ask us to remove them.
  • Website account: until you ask us to close it.

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the data we hold about you
  • correct anything that’s wrong
  • delete your data (unless we have to keep it, e.g. for tax)
  • restrict or object to how we use it
  • send your data to you or another organisation in a usable format
  • withdraw consent you’ve given, for example to a recording or to cookies

Email support@beatentrack.me. We’ll reply within one month. It’s free.

If you’re unhappy with how we handle your data, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office: ico.org.uk, 0303 123 1113.
